How to Clock Your Crew In, Switch Jobs or Customers, Take a Break, and Clock Out

Note: Crew functionality is faster and easier from an Android or iOS device, as shown below.


After your administrator has assigned you as a manager of a group and you have signed in:

Via Web

To clock in:

  1. Go to TRACKTime EntriesTimesheets ListAdd Time.
  2. Enter the employee's username, and select Currently working.
  3. Complete the remaining fields as needed, and click Save.
  4. Repeat for each employee.

To switch job or customer:

  1. Go to TRACKTime EntriesTimesheets ListAdd Time.
  2. On a timesheet that displays Working, click ().
  3. Uncheck Currently working, and click Save.
  4. In the Manage Timesheets window, click Add new timesheet.
  5. Enter the employee's username, and select Currently working.
  6. Complete the remaining fields as needed, and click Save.
  7. Repeat for each employee.

Via Android or iOS

To clock in or out:

  1. At the bottom of the screen, tap More.
  2. At the top of the next screen, tap Crew.
  3. Select your crew or individual employees.
  4. Do one of the following:
    • To clock in:
      1. Tap Clock In.
      2. If shown, tap Select Job or Select Customer, select one from the list, and tap Clock In again.
    • To clock out:
      1. At the bottom of the screen, tap More.
      2. At the top of the next screen, tap Crew.
      3. Select your crew or individual employees.
      4. Tap Clock Out.

To switch jobs or customers:

  1. At the bottom of the screen, tap More.
  2. At the top of the next screen, tap Crew.
  3. Select your crew or individual employees.
  4. Tap Select Job Code or Select Customer, choose a different job code or customer, and tap Clock In.

To take or end a break:

To take a break:

  1. At the bottom of the screen, tap More.
  2. At the top of the next screen, tap Crew.
  3. Select your crew or individual employees.
  4. Tap Clock In.
  5. Tap Select Job or Select Customer, under Breaks, select a break, and click Clock In. Note: It takes approximately 30 seconds for the break status to sync with the TSheets web (computer) app.

To end a break:

  1. At the bottom of the screen, tap More.
  2. At the top of the next screen, tap Crew.
  3. Select your crew or individual employees.
  4. Tap Clock In.
  5. Tap Select Job or Select Customer, select the job or customer, and tap Clock In.

To clock out:

  1. At the bottom of the screen, tap More.
  2. At the top of the next screen, tap Crew.
  3. Select your crew or individual employees.
  4. Tap Clock Out.

Via iPhone or Other iOS Device

To clock in:

  1. On the bottom of the screen, tap Crew, select the crew, and at the top right, click Next.
  2. Complete the remaining fields, and at the top right, click Clock In.

To switch job code or customer:

  1. At the bottom of the screen, tap Crew, select the crew, and at the top right, tap Next.
  2. Tap Select Job Code or Select Customer, select a different job code or customer, and tap Clock In.

To take or end a break:

To take a break:

  1. At the bottom of the TSheets app, click Crew.
  2. Select a group, and click Next.
  3. At the bottom of the Job Codes or Customers list, under Breaks, select a break, and click Clock In. Note: It takes approximately 30 seconds for the break status to sync with the TSheets web (computer) app.

To end a break:

If you set up an auto-ending break, there is no need to follow the steps below. The break will automatically start, end, and clock your crew back into the same job.

  1. At the bottom of the TSheets app, click Crew.
  2. Select a group, and click Clock Out.
  3. To clock back in to the same or another job or customer, see To clock in above.

To clock out:

  1. At the bottom of the screen, tap Crew.
  2. Select the crew, and at the top left, tap Clock Out.

Via Other Smartphone

  1. On your smartphone, open a web browser.
  2. Go to your TSheets account, and follow the instructions in Via Web.

Via Text

Before clocking in for the first time, register your phone:

  1. Obtain your username and team or company TSheets URL from your administrator.
  2. Dial your company's assigned 10-digit phone number.
  3. Text t register username password YourCompany'sTSheetsURL. (For example: t register wonderwoman goldenlasso superheroes.tsheets.com)
To unregister, text t unregister.

Notes:

  • The shortcodes shown below are created by your team or company administrator.
  • If your team or company uses advanced tracking fields (such as for fuel expenses or mileage), the commands below are the same, however after entering the job or customer shortcode, you must include either a line break (return) or a period padded by a space on both sides. (For example, t in cm . lassocriminals . billable @wonderwoman @batman)
  • In the commands below, using the intial t is optional, except if the command contains a shortcode.
  • Be sure to include the spaces as shown below.

To clock in:

  1. Dial your company's assigned 10-digit phone number.
  2. Clock in using one of the following formats:
    • To clock in only: t in @username1 @username2.
    • To clock in with a job code or customer: t in shortcode @username1 @username2 (For example, t in cm @wonderwoman @batman)
    • To clock in with a job code or customer and custom field: t in shortcode, add a space, add a period (.), add a space, advancedtrackingfield, add a space, @username1 @username (For example, t in cm . crime fighting @wonderwoman @batman)
    • To clock in with a job code or customer and a set time: t in shortcode @username1 @username2 at 0800 (For example, t in cm @wonderwoman @batman at 0800)

To switch job code or customer:

  1. Dial your company's assigned 10-digit phone number.
  2. Switch by doing one of the following:
    • To switch only: t switch newshortcode @username1 @username2 (For example, t switch cm @wonderwoman @batman)
    • To switch with a custom field: t switch newshortcode, add a space, add a period (.), add a space, advancedtrackingfield, add a space, @username1 @username2. (For example, t switch cm . crime fighting @wonderwoman @batman)
    • To switch with a job code or customer at a set time: t switch newshortcode @username1 @username2 at 1200 (For example, t switch cm @wonderwoman @batman at 1200)

To clock out:

  1. Dial your company's assigned 10-digit phone number.
  2. Clock out by doing one of the following:
    • To clock out only: t out @username1 @username2
    • To clock out with a job code or customer: t out shortcode @username1 username2 (For example, t out cm @wonderwoman @batman)
    • To clock out with a job code or customer at a set time: t out shortcode @username1 @username2 at 1700 (For example, t out cm @wonderwoman @batman at 1700)
